For every participant in our crowdfunding campaign, they will be rewarded with an E-Certificate to show appreciation because we believe that little effort will be a big help for the children from PKRM. While the supporters that donated RM50 and above will be receiving an E-thank you card that was designed by our group members.

3. Thank-You Card/Letter by the Children
The initial plan was to send out 6 thank-you letters drawn by children from PKRM to those that donated RM150 or RM200 and above only. However, the donation for support of RM150 and RM200 did not reach the limit (only 3 people can claim it) that was set before. Thus, the first 3 supporters that donated RM100 will receive one as well.

Physical rewards:
The physical rewards for supporters were purchased before the closing date of our crowdfunding project to avoid the risk of changes in price. The members pick out several stores from Shopee and choose the one with the most reasonable price to avoid over budget. The following are the rewards purchases from Shopee:
4. Mini Lego Block
Purchased 6 mini lego blocks for 2 supporters that donate RM200, 1 RM150, and the first 3 supporters that donated RM100 from ATP Professional Business Solution (Shopee), with a total of RM31.75. All six of the purchased mini lego block were different in design and given randomly to the supporters.

5. Painting by Number
We purchased 3 sets of the painting by number kit, with a total of RM13.90 from Duo Duo Wei, a seller from Shopee. Where it will be given randomly to the 2 supporters that donate RM200 and 1 supporter that generously donates RM150 for our project.

6. Tote Bag
The tote bag will be rewarded to those that donate over RM200 and based on the supporters' list, only 2 supporters that generously donated RM200. For this reward, we purchased it through Shopee as well, from a seller named Laymasia Bag & Fashion Wholesale, with a total of RM7.58.

Budget vs actual prices:
Even though there are changes in rewards during the actual crowdfunding initiatives, but we still try to get the budget and actual expenses as close as possible. After the changes in rewards, the prices for all purchased products are RM53.23, which is a lot lower than our budget for reward expenses (RM110).
Managing the rewards
After all of the orders were received by one of the members, the rewards were packed together securely before sending out the packages. The following are the packed rewards:

The last rewards were sent today(15/6/2022), which are E-certificate and E-thank you cards to the supporters that help us along the way during our crowdfunding campaign.

Total postage fee:
The figure below is our total postage fee (including the styrofoam box and flyer plastic packaging) for the delivery of rewards to our supporters.
At first, we decided to purchase the items (crackers and light snacks, noodles, can, chicken and tuna can, jam, shampoo, shower gel, chili and tomato sauce, dish soap, and laundry detergent) after asking for an opinion from one of the people from PKRM. Even though we did conduct research on the product's price, most of the actual prices are lower than our budget. This allows us to purchase all donation items with a total of RM877.25. While the remaining fund (RM427.45) will be given to PKRM since they need fresh food such as chicken, pork, carrot, vegetable, onion, ginger, and more that was stated on the list of things they need. However, this brings us to an issue, if we bought it first and sent it from Batu Pahat to Johor Bahru, it would not be as fresh as it should be anymore, and donating the fund to them will be better than purchasing first. Therefore, from this section onwards, the information regarding the donation items will be included only.

Fund Allocation
For this part, the actual fund allocation will be shown in tables and figures. Based on the table below, RM1,304.7 will be the total donation that consists of donation items that we bought, and fresh groceries (RM192.75) that PKRM will be buying for themselves using the fund we raise and RM234.70 in cash. Although RM427.45 (RM192.75+RM234.70) was donated to PKRM in cash, but we were told by one of the people in charge of PKRM that the total fund they spend on fresh groceries is only RM192.75.

A well-received donation item
The aunty from PKRM kindly insisted on bringing the donation item from Batu Pahat to Johor Bahru, which we are very grateful for. Without her, we would have to figure out another way or change the member in charge of purchasing the item from the supermarket. Figure 1 below is the aunty from PKRM and our public relations, Teo Qi Mei giving an appreciation poster, letter, and donation items, which are the daily necessities. While figure 2 shows that the item is safely arrived at PKRM, with three of the children included in the picture.

Close-out report
Our project went better than we expected since we achieved higher than we initially plan, which is RM1,500 only, and the total fund that we raised reached RM1,595. Hence, this can be seen as a good achievement for our first crowdfunding project. Our supporters also reach 43, and we are grateful for those that help us along the way, by helping us spread the word about our crowdfunding campaign to the public. Since we achieved RM1,595, the service charge for using Mystartr platform will be lower, and our budget for donations(items and fresh food) will be higher than the original estimated budget (RM1,070).
Even though the actual amount that we spend on rewards and postage fees is lower than the budget, but the actual expenses that we spend on postage are higher than the purchased reward, which is some mistake that we made and should be kept in mind for a future project. Although the schedule is a bit tight, we did manage to successfully achieve our objective and all four of the risk that we worried about did not come true, which are listed on the main page of our crowdfunding website, or the following:

Participants' appreciation gifts might be damaged in the process of delivering
Our rewards are not appealing enough for people to take part in
We are unable to deliver the items on time
To avoid the fourth risk, we purchased it before the end of the crowdfunding campaign since we did state that the estimating delivery time will be within June 2022, so we wish to hold on to the promise we made.
By managing this project from the beginning until the end, working as a team is definitely important for anything to come true. But, we have to remember the mistakes that we made on our budget and that the whole purpose of crowdfunding is to use the money that we raise instead of our own money first. In the future, if we have the chance to organize a similar project again, we will surely remember our mistakes, the things we learn along the way, and continue trying to help others, even the little efforts count.
